Summary
A commercial real estate investment trust with over 75 properties within the Unites States, was looking to migrate all physical documents and premise servers into the Microsoft Cloud. As the company continued to grow, so did the number of physical documents. The firm quickly realized it would not be able to scale using paper and pen and decided to contact Data Pros. Initially, Data Pros helped inspect and tag the documents. Once the information was properly organized, Data Pros migrated any of the premise data and scanned all the physical documents into SharePoint. This platform became their standardized document management system and saved hundreds of hours each year in administration work.
Challenge
Since the real estate firm has 75 different properties, communication and collaboration were extremely difficult with no site-to-site VPNs or remote access. Organizing and keeping tabs on physical files created unnecessary work and did not allow for the firm to properly scale or train new employees.
Strategy
To successfully execute the migration project from data on-prem to SharePoint, Data Pros proposed and executed a strategic six-step migration solution:
- Analyzed the full environment and determined potential obstacles during the migration process. This included revieweing all physical documentation and files that were stored on premise servers.
- Created the proper permissions groups and access levels within SharePoint.
- Created a new environment that successfully contained all of their files and allowed for easy collaboration and communication between the locations.
- Gave the company the chance to run a test of what their new environment would be like after the migration.
- Began the migration in increments to avoid as much business interference as possible
- Finished migration and completed a three-week training program to onboard the employees into their new document management and collaboration system.
